Health and Safety Policy for Man with Van Covent Garden
Man with Van Covent Garden is committed to providing a safe and healthy working environment for our employees, contractors, customers and members of the public who may be affected by our removal and delivery activities. This Health and Safety Policy sets out our approach to managing risks associated with house moves, office relocations, loading, unloading and transport operations.
Policy Aim and Objectives
The aim of this policy is to prevent injury, ill health, property damage and disruption arising from our services. Our objectives are to:
Identify, assess and control health and safety risks related to moving, handling, packing, transport and access. Provide and maintain vehicles, equipment and work systems that are safe and suitable for removal activities. Ensure employees receive appropriate information, instruction, training and supervision. Promote a positive safety culture in which everyone takes responsibility for their own safety and that of others. Comply with all relevant health and safety legislation and recognised industry best practice.
Management Responsibilities
Management is responsible for implementing and reviewing this Health and Safety Policy and for setting high standards for safe conduct throughout our service area. In particular, management will:
Carry out and regularly review risk assessments for key tasks such as lifting and carrying items, using moving equipment and working in confined or shared spaces. Provide and maintain suitable vehicles, ramps, trolleys, straps and other equipment in safe working condition. Ensure that employees are competent for their roles, with training kept up to date. Investigate any accidents, near misses or safety concerns and take corrective action to prevent recurrence. Review health and safety performance at regular intervals and make improvements where necessary.
Employee Responsibilities
All employees and regular contractors working with Man with Van Covent Garden have a duty to safeguard their own health and safety and that of colleagues, customers and members of the public. Employees must:
Follow all safety procedures, instructions and training provided. Use vehicles, tools and equipment only for their intended purpose and report any defects immediately. Apply correct manual handling techniques and use lifting aids whenever available. Wear suitable clothing and protective equipment as required for the specific task. Keep work areas, vehicles and access routes as tidy and obstruction free as possible. Report accidents, incidents, near misses and unsafe conditions without delay.
Risk Assessment and Safe Working Practices
Risk assessments are carried out for common activities, including moving heavy or bulky items, navigating stairs and narrow corridors, loading and unloading vehicles and operating in busy streets or shared premises. These assessments underpin our safe working practices, which include:
Planning each job in advance to identify likely hazards such as restricted access, parking constraints, fragile items or high value goods. Allocating sufficient staff and appropriate equipment to complete each job safely rather than rushing or overloading vehicles. Using team lifting methods and mechanical aids for heavy or awkward items to minimise strain and the risk of injury. Assessing the safest route in and out of premises and keeping these routes as clear as practicable. Avoiding unsafe shortcuts, such as carrying items over obstacles or up unstable surfaces.
Manual Handling
Manual handling is a core part of our removal operations, and particular care is taken to reduce related risks. Employees receive guidance and instruction on:
Assessing the weight, shape and stability of each load before attempting to move it. Using trolleys, dollies, straps and other aids for heavy or awkward objects. Maintaining good posture, lifting with the legs rather than the back and avoiding twisting while carrying loads. Working in teams for large items such as furniture and appliances and communicating clearly throughout each lift. Stopping work and seeking assistance or alternative methods if an item cannot be moved safely.
Vehicle Safety and Driving Standards
Our vehicles are a key part of our service and they are maintained and operated to high safety standards. We will:
Ensure all drivers are competent, hold the correct licences and are familiar with the vehicles they operate. Keep vehicles in safe working order through regular checks, servicing and inspection. Load and secure items correctly to prevent shifting or damage during transit, while respecting vehicle weight limits. Plan routes to minimise unnecessary risks, taking account of traffic conditions, access restrictions and safe stopping points. Require drivers to comply with road traffic laws and drive courteously and defensively in all areas we serve.
Customer Premises and Public Safety
Our work often takes place in and around customers premises and public spaces. We take appropriate measures to protect property and people by:
Respecting house rules and building regulations where work is undertaken. Placing protective coverings where necessary to reduce damage or slip hazards. Using caution when opening doors, moving large items or operating in communal hallways, pavements or shared driveways. Taking reasonable steps to warn others of potential hazards, such as trip risks or moving loads, and where needed using temporary barriers or clear verbal warnings. Minimising noise and disruption and keeping exits, fire routes and shared access areas clear at all times.
Training, Information and Supervision
To support safe working, Man with Van Covent Garden provides employees with training, information and supervision appropriate to their role. This includes:
Induction training on general health and safety responsibilities and company procedures. Task specific training on manual handling, use of equipment, loading techniques and vehicle safety. Ongoing guidance and refreshers when procedures, equipment or legal requirements change. Adequate supervision of less experienced staff until they are deemed competent to work more independently.
Accidents, Incidents and First Aid
All accidents, incidents and near misses, no matter how minor, must be reported to management as soon as practicable. We will:
Record relevant details to identify causes, trends and preventive measures. Provide or arrange appropriate first aid where required. Cooperate with any external investigations or requirements from relevant authorities. Review and update risk assessments, procedures and training in light of any findings.
Monitoring, Review and Policy Communication
This Health and Safety Policy is communicated to all employees and is available to customers on request. It is reviewed periodically, and whenever significant changes occur in our operations or legal requirements, to ensure it remains effective and relevant to our removal and delivery services.
By working together and following the arrangements set out in this policy, Man with Van Covent Garden aims to deliver safe, reliable and professional services across our operating area, protecting the wellbeing of everyone involved in or affected by our work.
